
Project Assistant
As a Project Assistant, you play a key role in managing and coordinating administrative activities related to engineering projects.
You work closely with project managers, internal teams, and external stakeholders to ensure the smooth execution of projects. You are responsible for various administrative tasks that support the efficient execution of projects, while ensuring compliance with deadlines, budgets, and quality standards.
Main responsibilities
Here is a non-exhaustive list of tasks to be performed. This list may vary depending on the assignment and the client.
Administrative management of projects:
- Ensure the monitoring and organisation of project documents (contracts, project plans, reports, etc.)
- Participate in the preparation and drafting of meeting minutes, progress reports and other required documents
- Coordinate the flow of information between the different stakeholders
Project management support:
- Assist project managers in planning, executing and monitoring projects
- Contribute to the management of project schedules, ensuring deadlines are met
- Assist in the management of project budgets, including tracking expenses and preparing financial reports
Management of tools and systems:
- Update and maintain project databases and document management systems
- Use project management software to help track progress and generate reports
Communication et coordination :
- Facilitate communication between project teams and relevant departments
- Organise project-related meetings, events and travel
- Manage communication with external partners, customers and suppliers
Qualifications and experience required
- Administrative background
- Previous experience as an administrative assistant, preferably in a project management environment in the engineering sector
Required skills
- Excellent organisational and time management skills
- Attention to detail and thoroughness
- Ability to work in a team and communicate effectively
- Proactivity and sense of initiative
- Excellent knowledge of French and English
- Proficiency in office tools (Word, Excel, Powerpoint), knowledge of project management software is an asset
- Good writing skills
