
Document Control as a service for engineering projects
Equans collaborators produce and share numerous technical documents for their various engineering projects. They called upon Exquando’s Document Control as a Service to ensure document tracking and control.

Equans specialises in the design, installation and maintenance of multi-technical solutions in the fields of energy, climate engineering, mechanics, electricity, digital technology and associated services. Their collaborators are required to produce and share numerous technical documents.
Objectives
Equans was looking for assistance to ensure document control for its various engineering projects. Their wish was to benefit from
- a rapid start-up of the service in document control,
- a certain flexibility in the face of a variable workload,
- expertise on different document management platforms.
Solutions
Thanks to its Document Control as a Service offering, Exquando quickly provided Equans with a team of experienced document controllers working on demand via a ticketing system.
The subcontracted activities include
- the parameterisation of the project EDM platform
- user training on different platforms
- scanning of plans
- document control and comparison with previous versions
- the document deposit on the project’s EDM platform
- checking the tagging and measurements of the insulated pipes on the plans
- control of Weld Logs with Isometrics and radio tests carried out on site
- checking material certificates with purchase orders
- management and monitoring of comments from review and approval workflows
- the control and management of documentary registers
- control of the receipt of all documents relating to a system or installation

IMEC's SEVESO site in Leuven has seen its technical projects and infrastructure grow rapidly. With this expansion in mind, the team managing maintenance and expansion wanted to standardise and optimise technical document management for greater efficiency.

Since 2019, UCB has undertaken several major construction projects at its Braine-l'Alleud site. Faced with the proliferation of projects, UCB sought to centralise its document management to standardise methods and avoid time loss and additional costs.

The teams of the STIB Infrastructure Department wanted to make an inventory and migrate their documentation and then adapt an existing collaborative space model for engineering projects to the Sharepoint Online environment.

GSK's engineering teams were required to manage multiple construction and engineering projects simultaneously across multiple sites. The need to centralise and standardise the management and control of their technical documentation became essential.

BNPPF's Facility Management department needed to find solutions to efficiently and securely manage more than 200,000 documents and plans, while simplifying their collection and storage and enabling rapid access to the latest versions.

When starting the construction of a new factory in Lessines, the engineers wanted a centralised solution for managing technical documentation and ensuring the transfer of this documentation to the end user's system.
