
Document Controller
To promote efficient and high-quality collaboration, the Document Controller helps ensure that the documentation used by the client, its partners, and collaborators is reliable, accurate, complete, and well-communicated.
You are part of a project team and are responsible for managing and controlling the documents produced during the various phases of the project using an integrated management tool.
Main responsibilities
Here is a non-exhaustive list of tasks to be performed. This list may vary depending on the assignment and the client.
- Tracking the document lifecycle: Creation, review, approval, distribution and archiving of technical documents throughout the project
- Quality control: Checking the accuracy, consistency and readability of documents, ensuring they comply with company standards and conventions
- Manage versions: Monitoring different versions of documents and maintaining a complete history of changes using a list of deliverables
- Document distribution: Making relevant documents available to the right stakeholders at the right time
- Apply, update and improve document management procedures
- Use document management systems (EDMS): Working with electronic document management systems, including access controls in certain cases, and collaborative tools (Teams) to facilitate the processing and sharing of documents
- Train and support users on the tool and procedures
- Produce reports/dashboards on the status of project documentation, define the corrective action plan and ensure its execution
- Provide feedback during project meetings on the status of documentation
- Scan critical documents such as protocols
Qualifications and experience required
- An interest in document management is essential
- An affinity or curiosity for working in a technical environment. Most of our clients are active in the field of engineering.
- Very good written and spoken knowledge of French and/or Dutch, good knowledge of English
- Good knowledge of Microsoft Office
The following elements are an asset but not a requirement:
- Basic training related to information and documentation management
- Basic training focused on information and communication technologies (ICT)
- Initial experience as a document controller, archivist, documentalist or in an administrative role
- Knowledge of one or more electronic document management systems is a plus (Aconex, LiveLink, Sharepoint, ACC, etc.)
This is mostly an operational role that requires rigor and a strong sense of service.
